Who this policy covers
Umbrella Freight Network operates this website at umbrellafreight.org as a members-only network of freight forwarding companies. This policy explains what information we hold, why we hold it, and what you can ask us to do with it. Questions about anything below can go to francois@umbrellafreightnetwork.com.
What we collect
When you apply to join. A username, an email address, a password and a postal address. Applications are reviewed and approved by an administrator before an account becomes active.
Your company profile. Company name, contact name, telephone number, email address, website address, headquarters country, countries of operation, continent, company logo, and any key contacts you choose to add (their names, email addresses and mobile numbers).
If you join the mailing list. The email address you submit, and nothing else.
Technical information. Our web server keeps standard access logs, which include IP addresses and browser details. We set cookies to keep you signed in and to serve cached pages more quickly.
What is public and what is not
This distinction matters, so it is worth being precise.
Publicly visible on our Find a Partner directory: your company name, the countries you operate in, and your company logo. Anyone can see these without signing in.
Visible only to signed-in members: your full member profile, including telephone numbers, email addresses and key contact details. These pages require an account and are not accessible to the public or to search engines.
Why we process it
We process membership and company profile information to operate the network and to let members find and contact one another, which is the service you signed up for. We process mailing list addresses only with your consent, and you can withdraw that at any time. We keep server logs to keep the site secure and working.
We do not track you
This site runs no third-party analytics, advertising pixels or social media trackers. We do not build advertising profiles, and we do not sell or rent your information to anyone.
Who else sees your information
Your information is stored on our web hosting provider’s servers, which is necessary for the site to run. Other members can see the profile information described above. We will disclose information if we are legally required to do so.
How long we keep it
We keep your account and company profile for as long as your membership is active. If your membership ends, ask us and we will remove your profile and personal details from the directory. Server logs are kept only for a short period for security purposes.
Your rights
You can ask us to show you what we hold about you, correct anything inaccurate, delete your information, or send it to you in a portable form. You can also object to how we use it. Members can edit most of their own profile information directly from their account at any time. To make any other request, email francois@umbrellafreightnetwork.com and we will respond within one month.
Quote requests
If you ask for a freight quote through this website, we collect your company name, your name, business email address, phone number, optional website, the countries and shipment details you enter, and the time and connection details of your request. We first email you a confirmation link; nothing is passed to anyone until you click it. Once confirmed, we pass the request and your contact details to our member forwarder for the countries involved, and where relevant to the member at the other end of the route, so they can contact you with a quote. Each member handles your information as an independent business under its own privacy terms and may not pass it on or use it for anything other than your enquiry. We keep unconfirmed requests for 30 days and confirmed requests for 12 months, after which personal details are removed and only anonymised counts are kept. You can ask us to delete a request at any time at the email above.
Cookies
We use cookies for two purposes only: keeping you signed in to your member account, and helping pages load faster. We set no advertising or tracking cookies. Blocking cookies in your browser will prevent you from signing in.
Changes to this policy
If we change how we handle your information we will update this page. Significant changes affecting members will be communicated by email.
